VIRTUAL ASSISTANT — SHORT-TERM & MID-TERM RENTAL OPERATIONS
THIS IS A FRIDAY - TUESDAY FULL TIME SCHEDULE WORKING PACIFIC STANDARD TIME HOURS.
The Link Housing LLC is a fast-growing housing company specializing in mid-term rentals for insurance placements, traveling professionals, and relocating families. We are expanding rapidly and building an operations department from the ground up.
We are hiring a high-level Virtual Assistant (VA) who is not only capable of daily operational tasks, but is also skilled in creating SOPs, building processes, and developing the operational backbone of an entire department.

This position does not come with pre-built systems.
You will be helping BUILD this department.
PRIMARY RESPONSIBILITIES
1. SOP Creation & Department Development
Create, write, and refine Standard Operating Procedures (SOPs) for every part of the business
Identify gaps in workflow and independently propose better systems
Document processes clearly and organize them into a scalable operations manual
Build repeatable workflows for:
Guest communication
Cleaning coordination
Maintenance ticketing
Onboarding new properties
Insurance communication
Work closely with leadership to shape the operational structure as the company scales
• Serve as the primary point of contact for guests: respond promptly to inquiries, manage check-ins and check-outs, and provide ongoing support
• Draft, review, and manage lease agreements for short-term and mid-term stays
• Coordinate cleaning, maintenance, and vendor services across multiple properties
• Ensure properties are consistently guest-ready through remote checklists or communication with on-the-ground teams
• Maintain and update internal records, calendars, and booking systems
• Troubleshoot and resolve guest or property-related issues professionally and efficiently
• Assist with onboarding new properties into our system and organizing operational documentation
2. Guest Communication & Hospitality
Handle guest inquiries on Airbnb and email with warmth, professionalism, and speed
Communicate with insurance adjusters and case managers
Send booking confirmations, pre-arrival documents, weekly check-ins, and check-out messages
Follow hospitality principles to support displaced families and traveling professionals
Manage extensions, special requests, and escalations
3. Property Operations
Maintain and update ---------- project boards
Coordinate cleaners (contracted vendors) and verify all turnovers with photos
Track maintenance issues and communicate with vendors when needed
Manage property profiles, inventories, utilities information, and house manuals
Assist with creating and improving listing descriptions and accuracy on Airbnb
4. Administrative Tasks
Build internal documentation for new hires and future tea ---------- mbers
Organize data, folders, templates, and workflows inside Google Drive
Assist with onboarding new properties into our portfolio
Prepare summaries and updates for leadership
Create Leases and Run Background Checks for rentals not going through Airbnb
Reconcile Refundable Security Deposits and Aircover claims
REQUIREMENTS
Must-Have Skills:
Strong experience creating SOPs and building processes from scratch
Ability to think logically, structure workflows, and write clearly
Excellent written English and hospitality-centered communication
Experience with Airbnb messaging, property management, or guest support
Proficiency with ---------- and Google Workspace
Highly organized, detail-oriented, and reliable
Self-starter who can work independently without constant instruction
Ability to make decisions and problem-solve in real time
Prior experience building an operations department
Hospitality, STR/MTR operations, or insurance housing background
Experience coordinating cleaners or contractors
